Schedule C expense spreadsheet: organise bank transactions for your accountant
A free workbook for grouping US business transactions, tracking receipts and preparing a 2025 records handover before the October extension deadline.
A Schedule C expense spreadsheet should preserve the transaction date, payee, amount, working category and supporting receipt. It should also distinguish business spending from transfers and personal purchases. Its job is to organise evidence for the return; bank spending totals are not automatically tax deductions.

Which year belongs in the file?
For a 2025 federal individual return being filed on extension in October 2026, gather the 2025 records. Do not accidentally use January–September 2026 because those statements are easiest to download.
For most individuals with a valid extension, the filing date is 15 October 2026; the extension did not postpone the usual April payment deadline. Disaster relief and other exceptions can change individual dates. Check the IRS extension guidance and the notice or advice applicable to you.
Gather the evidence before categorising
Include every account used for business, relevant card statements, sales records, receipts and payment-processor reports. Keep a list of missing months. If a closed account is involved, request old statements early.
A bank deposit from a processor can be net of fees and refunds. Record the supporting settlement report so your accountant can determine gross receipts correctly. Do not treat a deposit total as a complete sales ledger.
Use a bank CSV where available. Otherwise convert the PDFs to Excel, review the rows and keep the originals alongside the export.
Fill the organiser
The Transactions sheet uses signed amounts, with money received positive and payments negative. Enter one row per bank or card transaction, a working category and a document reference. Use Review when evidence is missing or treatment is uncertain.

The workbook displays amounts without a currency symbol; use USD throughout this US workbook and do not mix currencies. The example has $200 of payments grouped into ordinary working expense categories and $900 awaiting review. It does not claim a $1,100 deduction.
Categories are a starting point
The labels are a practical subset of Schedule C terminology, including advertising, supplies, insurance, professional services and office expense. Use the 2025 Schedule C instructions for the actual return and your preparer's classification decisions.
Equipment, vehicle costs, meals, home-office costs, inventory and mixed-use spending require extra information. The workbook deliberately leaves these decisions visible instead of applying blanket percentages or assuming every payment is immediately deductible. If you use accrual accounting, bank dates alone will not determine which year income and expenses belong to.
Three checks before sending it
Reconcile each account. Compare the full movement against the statement balances where available. A balanced extraction is a useful arithmetic check, not proof of tax treatment or every description.
Check transfers. A checking-account payment to a card is not another expense if the card purchases are already recorded. Mark both sides so your preparer can match them.
Resolve or list exceptions. Add a short question such as “Laptop: business-use percentage and depreciation treatment?” rather than guessing a category to make Review disappear.
Send a usable handover
Send the workbook, source PDFs, receipts, processor reports and unresolved-items list through the secure channel agreed with your accountant. Confirm they have accepted the work and their document cutoff; a statutory deadline is not a promise that a preparer can finish a late submission.
